Logistically, it meant evaluating locations, handling group and individual travel, and preparing for every scenario, from weather delays to unforeseen events.

 

The Solution

Location & Travel Management

To bring the client’s vision to life, SDI began by evaluating over 20 high-end resorts across Aruba, the Dominican Republic, and Curaçao. A three-island site inspection helped narrow the options, ultimately leading to the selection of an all-inclusive luxury resort in Curaçao. The destination offered not only exceptional service and multiple on-site dining options but also the benefit of fixed per-attendee costs—helping the client stay within budget without sacrificing quality.

Managing travel logistics for nearly 400 attendees required precise coordination. SDI chartered an A321 aircraft to transport 180 of the guests and arranged more than 80 additional commercial flights for the rest of the group. From seat assignments and upgrades to ticketing and real-time itinerary support, the dedicated air travel team handled every detail with white-glove care. Attendees received personalized communication and assistance throughout their journey, handling challenges and supporting attendees from start to finish.

Immersive Program Design

The incentive trip began with a vibrant welcome reception that introduced guests to the culture and spirit of Curaçao. Live performances by local musicians and dancers, paired with traditional island cuisine, set the tone for an authentic and celebratory week. Throughout the six-day program, attendees enjoyed a thoughtfully curated agenda that included golfing, catamaran excursions, island explorations, and cultural outings—offering a blend of relaxation and engagement.

One of the most memorable moments came on the final night, when the beach was transformed into a full-scale “Pirates of the Caribbean” experience. Complete with costumed entertainers, rum tastings, fire pits, and a fireworks display, the evening brought the theme to life in spectacular fashion. SDI even arranged for drone footage to capture the celebration from above, preserving the magic and energy of the night for both attendees and the client.

Flexibility was built into the program as well. When attendees expressed interest in watching a key football playoff game, SDI quickly pivoted to create an impromptu viewing party—further enhancing the guest experience and demonstrating the team’s responsiveness.

Beyond the large group events, SDI focused on creating space for genuine, one-on-one interactions. Six VIP dine-arounds were arranged throughout the week, giving the client the opportunity to host intimate dinners with key customers and vendors. These small-group gatherings offered the perfect setting for deeper conversations and relationship-building in a more personal, relaxed atmosphere.

Throughout the entire program, SDI maintained a strong on-site presence. A dedicated team offered concierge-style support, helped manage any changes or special requests, and ensured that every aspect of the guest experience was executed to the highest standard.
